Key Functionality

C-COM Multi is a suite of products/components, all components talk to each other and play a specific role in achieving C-COM’s various objectives. The suite consists of the following components:

Site Diary

C-COM allows for 1 or more site diaries to be submitted daily per incorporated contract. Each site diary is individually configured and different people are typically responsible for submitting these diaries. The site diaries are created entirely online and feature many time-saving features designed to allow capturing of detailed information in approximately 15 minutes per day.

Once submitted the diaries go into a sign-off/approval queue. C-COM prompts the relevant people to view site diaries and either approve or reject them. Should a site diary be rejected the original submitter is allowed to submit a new version of the diary. All rejected submissions are retained as earlier versions.

Captured site diary data is immediately searchable and C-COM can easily provide on-demand data reports for all captured data.

Risk Manager

C-COM has a Risk Register which authorized users can add risks to. When a risk is added it is logged against a particular contract and described in detail, furthermore users can add supporting documentation or photos to risks.

C-COM is able to generate Early Warnings automatically for any captured risks and send them to a predefined recipient list.

The Risk Register can easily be searched by keyword, severity rating, contract, etc. and results can be printed or output to Excel.

Automatic detection of site originating risk
C-COM features personalised triggers which any user can setup to monitor and detect risk in the daily submitted site records. C-COM measures inputted data against thresholds and if the thresholds are exceeded, alerts are immediately sent to the relevant people via e-mail and/or SMS.

Events Manager

C-COM has an Events Register which functions similarly to the Risks manager except that it is intended for issue that have or are happening as opposed to issues which might occur. When an event is added it is logged against a particular contract and described in detail, furthermore users can add supporting documentation, photos or comments to events.

Events can easily be searched by keyword, severity rating, contract, etc. and results can be printed or output to Excel.

Compensation Event Administrator
C-COM understands the Compensation Event process for NEC contracts and provides users with a platform for transmitting and receiving CE-related exchanges.

The CE Administrator provides continuous feedback to users within C-COM and by means of e-mail and/or SMS – urging users to act when action is required of them.

C-COM uses data from risks or events to automatically generate notices when instructed to and then sends the notices via e-mail to all necessary recipients. Once a notice has been sent C-COM automatically creates tasks for the appropriate users to complete the next step as required by NEC.

C-COM tracks all time bars and features hold/release mechanisms where company policy requires authorisation of specific actions.

Real-time Commercial Reporting
C-COM doesn’t just transmit claim related documents, it understands what the documents are about and as such can provide a variety of real-time commercial feedback per contract, including:
• Original contract value
• Value of approved claims
• Value of claims awaiting determination
• Estimated new contract value

This factual, real-time reporting allows management to gain commercial insight at any time without having to rely on individuals to prepare reports (which are often biased or may conceal problems).

Requirements Schedule

Deliverables required from other parties can be tracked and monitored in C-COM, i.e. anything needed by a particular company in order to fulfil their obligations, examples include: Provision of access; Free-issue materials; Drawings; Permits; Inspections/tests.

Often these deliverables can be gleaned from the project programme and C-COM allows importing of activities from Primavera P6 and MS Project

Once the deliverables have been imported, C-COM prompts users via SMS and/or e-mail as well as the site diary when these items are becoming due or are due. The person completing the site diary must then state whether the requirements are: outstanding, partially fulfilled or entirely fulfilled.

Queries can be run on the system at any time to see the fulfilment status of various deliverables and reports can be printed or output to Excel.

Documents Manager

C-COM has a straightforward documents manager which has been kept as simple as possible. It consists of a number of predefined folders in which documents can be stored as well as a photos section in which authorized users can create albums and upload photos into these albums.

Any documents generated by C-COM (including e-mails) as well as documents attached to quotations, site diaries, risks, et al elsewhere in C-COM are automatically stored in the Documents Manager and cross referenced from the relevant item in C-COM.

Access to any document folder can be restricted to allow sharing of sensitive documents between specific users only (e.g. cost control documents).

Core methodology
